5 Questions You Should Ask When Buying Employee Performance Appraisal Software
So you think you've found your employee performance appraisal software vendor. Before you invest any money and more time in a solution that might not meet all of your needs, ask them these last five questions:
1. Does the solution provide complete flexibility and control around definition of the workflow and process steps? If you haven't seen this ask the vendor to please demonstrate how the process steps and workflow are configured in your system. When you see this you will be able to visualize whether the solution will fit your process requirements or not.
2. Does the solution provide sophisticated email notifications that are optimized for the recipient? How many e-mail notifications will, for example, a 3rd level manager receive who has 25 outstanding appraisals to review? Will he or she receive 1 or 25 separate e-mails in a given day? You need to consider how many emails your senior managers will pay attention to!
3. Will I be in control of my company's forms and workflow after the first round of reviews? Will I be able to make adjustments, such as adding new forms or fine-tuning steps in the process, without involving the vendor to make the changes for me? Will these activities be covered during the initial training? Be sure you feel the vendor is accurately estimating the effort involved to train you well on these aspects of managing the system.
4. Is the software as easy to use and implement as promised? Can you provide the names of several references that will say the software is as easy to use – by HR, managers and employees - as they anticipated?
5. Is my hosted data secured with solid encryption and security standards and processes, including a secure facility? Please describe your security architecture. What intrusion detection and vulnerability services are used? Please describe backup and disaster recovery measures.
